Many of the questions posed are answered quickly and concisely by this manual, and many of the answers have links to those sections of the manual. General

 

1.Q: What are the computer hardware requirements necessary to run this system?

A: The requirements are listed in the Hardware Requirements section of this manual.

 

2..Q: I cannot see all of the program's boxes and buttons because they don't seem to fit on my screen. What's going on?

A: The system was designed for a minimum screen resolution of 1280 x 800 pixels. If your screen resolution is set lower than this, the program cannot be fully displayed on your monitor. To correct the problem, adjust your screen resolution in your WindowsTM Control Panel

 

3.Q: How do I make sure my system is up-to-date with the latest upgrades and patches?

A: Lot Wizard Pro will automatically check for updated versions every 3 to 4 days. If an update is found, Lot Wizard will display a message asking permission to update your system. To check more frequently or force an update, follow the instructions for downloading programs and forms.

 

4..Q: How do I create a backup file of my data in case something were to happen to my computers?

A: Lot Wizard Pro does not require you to backup your data. All data is automatically backed on Microsoft's Azure SQL server.  

 Backups are continuous and are generally kept for a period of 35 days

 

5..Q: How do I restore my data from a backup file?

A: Should you need to restore your dealerships data to a previous time, contact Friday Systems for assistance

 

6.Q: Do I need my computer to be on a LAN to share data with other users?

A: No. Dealership data is stored in the cloud and is accessible from any location that has a high speed internet connection. All users share and work with the same cloud hosted data and do not need to be on the same local network.

 

7.Q: Does this system work with any accounting programs?

A: The system is designed to work with QuickBooks TM Pro and Premier desktop accounting software packages. It does not work with QuickBooks Online. Information can be found in this manual's section on the Quickbooks interface.

 

8. Q: How do I add users to my system?

A: Click here to go to 'Permissions and Security' in the Dealership Information section of this manual.

Deals

 

1.Q: How do I start processing a deal?

A: Click the Process Deal tab located along the top row. Click on the New Deal button on left. For detailed instructions, go to this manual's section on how to process a new deal.

 

2.Q: How do I delete a deal from my database?

A: Option 1: Click the Process Deal or Deals & Quotes tab. Select File Menu | Delete Deal option. A delete deal window will be displayed.  Option 2: Click the Deals & Quotes tab. Select deal from list. Click Delete Deal in left column. Once you delete a deal, you cannot retrieve it. A log of deleted deals is kept.

 

3.Q: How do I load a previously saved deal?

A: Option 1: Click the Process Deal tab along top row. Select File Menu | Load Deal or Load Deal in left column.  Option 2: Clock the Deal & Quotes tab along top row. Double click To load a deal from the database, click the File Menu and select the Load Deal option. You will be able to pick a deal from a list of previously saved deals in the database. You may want to review this manual's pages on loading a previously saved deal.

 

4.Q: Why do some of my deals in the history list have a yellow background?

A: The yellow background indicates a deal that has not been officially marked as being completed in the system. It is nothing more than a visual indicator. To mark a deal as being completed, you must click the 'Mark as Complete' button under the Wrap Up Tab of the deal screens.

 

5..Q: What are all of the tabs for on my deal screens?

A: To make information easier to find and read, the system keeps related items together under specific tabs. There are tabs for customer information, sold vehicle information, trade vehicle information, etc. Review this manual's section on how to process a deal to see screen shots and get an explanation of the tabs available

 

6. Q: How do I use TriVin/Dealertrack for online vehicle registrations?

A:   Click here for instructions.  To use this feature, you must have an account with DealerTrack.

 

7. Q: What is the difference between a Bank and an Outside Lien Holder?

A: The 'Bank' is the main lending institution that is providing the loan for the vehicle.  Outside Lien Holders are other funding sources that have placed a lien on the vehicle. For example, a customer may have acquired a loan for the down payment and is presenting a check for that amount. Forms Printing

 

1.Q: How do I print window stickers for my vehicles?

A: Load the vehicle into the Inventory Detail window. With the vehicle displayed on the screen, click the Inventory Forms Menu and select the window sticker from the pull-down menu. The window sticker prints like any other form in the system.

 

2.Q: What type of printers do I need?

A: Generally, users will want to utilize two printers: a laser or ink jet printer for printing plain paper forms and reports, and a dot-matrix impact printer (Okidate 320/321/420/421 preferred) to fill out pre-printed forms (single and multi-part). The impact printer is required for carbon copies since laser and ink jet printers never strike the paper to create carbon copies. 3.Q: Where can I get forms for my dealership?

A: The best place to start is with your state's independent dealer's association. You can find out how to contact your state's association by checking out the National Independent Automobile Dealer's Association's (NIADA) website. Your local association is available to help you find the information you need to keep your business running profitably.

4.Q: My forms are not lining up properly. How can I fix this?

A: Check to ensure that the form ID and date match the form selected to print. Each form name listed under the Document Printing Tab will usually have the form name/number and revision date as part of it's name. Make sure this revision date and form name/number match the pre-printed form ID. If they match, you may need to make some printer adjustments within the system. You may also need to check the settings directly on your printer. Click here to learn how to change the printer settings for an OkidataTM 320, 321, 420 or 421 printer.

 

5.Q: I want to change the way my list of forms looks. How can I do this?

A: The system allows you to change the form document listing color and order. You can change the name of the form as it is listed on the screen, the order in which your forms are displayed, and even the color in which the form name is displayed. Review this manual's section regarding maintaining the forms list.

 

6. Q: What should I do if a PDF document will not open, or opens with data from the previous deal?

A: Click here for instructions on fixing this issue.

Inventory

1.Q: How do I add vehicles to my inventory?

A: You add vehicles to your inventory under the Inventory Details tab. Click the Add Vehicle button at the top of the left column. The system has a built-in VIN decoder to make data entry easier. When you are finished, click the Save button.

 

2.Q: How do I delete a vehicle form my inventory?

A: Load the vehicle into the Vehicle Details . click the File menu and select the Delete Vehicle option from the pull-down menu. Once a vehicle has been deleted, you cannot get it back -- you must re-enter the information if you want the vehicle back in the database.

 

3.Q: How do I place a vehicle marked sold back into active inventory?

A: When you delete a deal, the vehicle is automatically returned to active inventory.  Click here to find out how to unsell the vehicle without deleting the deal.  CAUTION: If a customer sells back a previously-sold vehicle, do NOT use this procedure.  The vehicle must be entered with a new stock number.

 

4.Q: How do I add pictures for my vehicles in inventory?

A: Before adding pictures, vehicle information must include a Stock Number, Purchase Date, V.I.N., Model Year, Make and Model. Once a vehicle has been loaded into the Vehicle Details window, Click on the 'Descriptions/Pictures' tab.  Click the Attach button. The system will display a window in which you can navigate through your computer's folders to find the picture you wish to append to any current pictures saved.

 

5.Q: The image is upside down, how do I rotate the image?

A: If the image is not oriented correctly (upended or upside down), click the 'Rotate' button until the correct orientation is achieved.  Click here for more information.

 

6.Q: How do I replace pictures for my vehicles in inventory?

A: Load vehicle into Vehicle Details window, Click on the 'Descriptions/Pictures' tab. Click the Replace button. The system will display a window in which you can navigate through your computer's folders to find the picture you wish to append to any current pictures saved.

 

7.Q: How do I track repairs to my vehicles in inventory?

A: The system incorporates features which allow you to enter repairs for each vehicle. The system keeps a running total of repair costs for each vehicle. You can enter these repairs under the Purchasing Information tab of the Vehicle Details section in the system. See entering repair orders for a vehicle for more information.

 

8.Q: How do I upload my inventory for advertising?

A: See our answer regarding advertising your inventory online.

 

9.Q: My vehicle inventory list shows cars with different background colors. Why?

A: The different background colors are quick visual cues to indicate the age of vehicles in your inventory. The coloring is a visual indicator of age and serves no other functionality.  The age is calculated from the vehicle's Purchase Date :

A white-colored background indicates a vehicle has been in your inventory 0 - 90 days

A light-gray-colored background indicates a vehicle has been in your inventory 91 - 180 days

A dark-gray-colored background indicates a vehicle has been in your inventory over 180 days..

Reports

 

1.Q: What reports are available in the system?

A: Most standard built-in reports for Deals and Inventory are under the Reports menu.  Buy-Here/Pay-Here reports  are under the Dealer Financing menu. A wide array of reports can be created for Deals, Inventory and Customers using the custom report writer.

 

2.Q: I don't see a specific report that I need. What can I do to get a report with the information I want from the system?

A: The answer is to use our custom report writer to generate the reports you need. You can use this feature to generate custom paper reports, address labels, and even to export data to a file.

 

3.Q: Can I make address labels with this system?

A: Address labels can be created from either the Deals & Quotes or Customer lists. Review this manual's section on how to create address labels.

 

4.Q: Can I create a file of specific data with this system?

Buy-Here/Pay-Here

 

1.Q: How do I print payment coupons for my Buy-Here/Pay-Here customers?

A: See printing coupons for your Buy-Here/Pay-Here customers.

 

2.Q: Do I need special paper to print payment coupons for my Buy-Here/Pay-Here customers?

A: Yes and No. Plain paper may be used, but the system was designed to print coupons on a specific style of perforated paper which allows for 3 coupons per page. This paper is printed by TopsTM and has a product number of TOP05030. If you search the Internet for this product number, you will find various online retailers (many with local store locations) who sell this paper. You may also want to review this manual's pages on printing coupons for your Buy-Here/Pay-Here customers.

 

3.Q: How can I find out which customers are late in their payments?

A: To find out which Buy-Here/Pay-Here customers are behind in their payments, run the built-in receivables report. Access this report by either clicking the Receivables Report button or by clicking the Dealer Financing menu and selecting Late Report from the pull-down menu.

 

4.Q: Can I add a charge for something like fixing a muffler to a customer's Buy-Here/Pay-Here loan?

A: Yes, the system allows the addition of a charge to the principal of a Buy-Here/Pay-Here loan. Under the Buy Here/Pay Here tab, select a customer and payment from the lists displayed. Click Receive Payment. After the Customer Payment window appears, choose 'Dealer Charge' from the Payment Method combo box. Enter the additional charge, description and associated dealer cost. Because this charge is added to the principal balance of the loan, it will collect interest over the life of the loan. Review the  section on adding other charges to a Buy-Here/Pay-Here loan.

 

5.Q: How do I change the customer's payment  due date?

A: The system will allows the modication of a customer's next payment due date. After modifying a due date, the due dates for all payments afterwords will also be modified to reflect the change. To modify a customer's due date, click on and select a customer's account listing withing Buy-Here/Pay-Here tab. Next, click the Dealer Financing Drop Down Menu, select Modify Due Date from the pull-down menu. Enter the modified the due date of the next due payment.

 

6.Q: My Buy-Here/Pay-Here customer cannot pay his loan and I had to repossess the vehicle. Can I show this in the system?

A: Yes, a Buy-Here/Pay-Here loan can be closed for repossession, collection, surrender or charge off. Choose the account to default under the Buy-Here/Pay-Here tab. With the account selected, click the Dealer Financing Drop Down Menu, select Default/Repo/Return from the pull-down menu. Enter the repossession information. The vehicle may be placed back into inventory by selecting the Restock Vehicle check box. For more information about defaults and repossessions, review the Loan Defaults section of this manual.

 

Internet Connectivity

 

1.Q: I received the message 'Failed to connect. Logon data is incorrect' or 'Connection Failed' when I start the system.  What's wrong?

A: This message either indicates that the Lot Wizard Pro installation has incorrect system logon information or your internet connection is down.

Make sure your Internet connection is active. Open a web browser to a new web page. Make sure it is not a cached page. Check to be sure you can access well-known sites such as Google or MSN. If you cannot reach these sites, your connection to the Internet may not be working properly.

Check your firewall or anti-virus system to ensure it is not blocking Lot Wizard Pro or other Friday Systems' software. Firewalls (hardware or system) are the main culprit of most connection problems.

3.Q: I have uploaded my vehicle inventory, including pictures I have recently taken and entered into the system. These new pictures are not showing on my website. How can I fix this?

A: Sometimes, when you upload your inventory and pictures to Friday Systems, Inc.'s servers, the file can become corrupted as it transfers over the Internet. When that happens, the file becomes unreadable, and Friday Systems, Inc.'s servers cannot process the file. Your inventory transfer never makes it to your web site. If this happens, simply send your file again. If a problem persists, please contact Friday Systems, Inc.'s technical support.
